What is university management software?

University management software is an enterprise-class ERP designed for institutions that grant their own degrees — central universities, state universities, private universities, and deemed-to-be universities. Unlike a single college, a university is an ecosystem of faculties, each with its own dean, departments, academic autonomy, research programmes, and in many cases, its own admission process. 03 Why now

Why universities can't run on legacy systems anymore.

Most Indian universities still run on software systems that were bought 15 years ago, heavily customised, and are now held together by one IT person who knows the database schema. This worked when regulatory requirements were stable. It stopped working the moment NEP 2020 introduced the Academic Bank of Credits, the four-year UG programme, multi-disciplinary entry and exit points, and a new outcome-based education framework. Legacy systems simply cannot accommodate these changes without a 6-month customisation project and a six-figure bill.

At the same time, international universities are entering the Indian market. The UGC has allowed foreign universities to set up campuses here. Indian universities are now competing not just with each other but with institutions that ship with modern enterprise software by default. 01How long does a university rollout take?

For a 10,000-student university, typical rollout is 8–12 weeks. Weeks 1–3 are data discovery and migration design. Weeks 4–6 migrate legacy data. Weeks 7–9 configure faculties, exam cycles, and compliance exports. Weeks 10–12 train deans, HoDs, registrars, and accounts staff. We support parallel-run with your legacy system for up to 4 weeks post-launch.

02Can Vision Technology handle our legacy data migration?

Yes. We migrate student records, alumni records, faculty publications, exam history, fee ledgers, and hostel allocations from most legacy systems. If your data is in Oracle, SQL Server, or a custom database, our team extracts it directly. Paper records can be scanned and OCR'd at additional cost.

03How does multi-faculty autonomy actually work?

Each faculty gets its own administrative namespace — dean login, HoD logins, faculty-specific fee structures, exam calendars, and marksheet templates. The VC's office has a read-only rollup with drill-down access to any faculty. Cross-faculty enrollments (for electives or transfers) carry the student record intact.

04Is Academic Bank of Credits integration supported?

Yes. Student credits earned per semester are automatically pushed to the ABC portal. Multi-entry and multi-exit pathways work end-to-end — a student can exit after year 1 with a certificate, return in year 3 with transferred credits, and complete their degree without paperwork.

05Can we handle international students and multi-currency fees?

Yes. International students get dedicated profiles with visa tracking, hostel pre-allocation, and fee structures denominated in USD, EUR, or any other currency. Exchange rates are updated daily. Parent-side receipts auto-generate in local currency.

06How does research and publication tracking work?

Faculty members log their publications directly in the portal via DOI lookup — the system pulls the citation, journal, impact factor, and co-authors automatically from Scopus or Crossref. Patents, funded projects, and grants are tracked separately. One-click exports for NIRF, NAAC, and internal appraisal.

07What about data security for 20,000+ student records?

We host on AWS Mumbai region with encryption at rest (AES-256) and in transit (TLS 1.3). Role-based access with audit logs for every data change. SOC 2 Type II certification in progress. On-premise or private-cloud deployment is available for universities with strict data sovereignty requirements.

08How much does it cost?
